About Us

Baycrest is completing planning and readiness work for a potential transition to a new Health Information System (HIS). To ensure we are prepared, we are recruiting key project roles that will support this readiness phase and any future implementation.

 

Job Summary

Reporting directly to the Director, Digital Health Transformation, with a dotted line to the Director, Corporate Communications & Brand, the Communications Specialist will work in partnership with the Organizational Change Management lead, key project leaders internal/external to Baycrest, and the Corporate Communications & Brand team. This role is responsible for developing, coordinating and executing strategic communications that inform, prepare and engage internal audiences across Baycrest Hospital, and beyond.

 

The successful candidate will be a strong writer and strategic thinker who can translate complex, technical and clinical information into clear and accessible communications. They will be comfortable navigating a matrixed environment, working with multiple partners and providing sound advice on change management communications.

 

This is a hands-on role that requires organization, diplomacy, creativity and an ability to manage competing priorities under tight timelines.

 

Key Responsibilities

Strategic Communications

·       Lead the development and implementation of communications plans for the project, including timelines, messaging, channels and stakeholder engagement strategies.

·       Provide ongoing communications counsel to the Senior Project Lead and project team.

·       Ensure alignment with corporate messaging, brand standards and enterprise-wide communications strategy.

Change Management Communications

·       Develop clear, practical change communications that help staff understand what is changing, why it matters and what actions are required.

·       Support readiness activities such as leader toolkits, FAQ documents, “what to expect” materials, internal presentations and training-related content.

·       Partner with HR and Organizational Effectiveness on change management approaches as required.

Internal Communications

·       Write and edit internal announcements, updates, newsletters, intranet content, presentations and briefing materials related to the project.

·       Work closely with the Corporate Communications & Brand team to coordinate messaging and ensure accuracy and consistency.

·       Support town halls, drop-in sessions, roadshows and other engagement activities.

Stakeholder Engagement

·       Build trusted relationships with clinical leaders, operational leaders, physicians, staff, IT colleagues and other project partners.

·       Gather input, manage feedback and collaborate with subject matter experts to ensure content accuracy.

·       Support presentations, reports and materials for executive leadership and governance groups.

Content Development & Execution

·       Produce written content, visual materials and communication tools in formats appropriate for different audiences.

·       Update project pages on the intranet and ensure timely posting of materials.

·       Coordinate graphic needs, visuals, meeting materials and presentation decks.

Measurement and Evaluation

·       Track and report on communications activities, reach and engagement.

·       Recommend improvements to strengthen awareness, clarity and adoption.

 

Qualifications

  • Undergraduate degree or diploma in communications, public relations, journalism or a related field.
  • Minimum 5–7 years of experience in a strategic communications role.
  • Experience supporting large-scale change or transformation initiatives is a significant asset.
  • Experience working in a complex, matrixed environment (health care, public sector or not-for-profit preferred).
  • Exceptional writing and editing skills with the ability to simplify complex information.
  • Strong understanding of internal communications, project communications and change management principles.
  • Experience working with leaders and multidisciplinary teams across large organizations.
  • Comfortable using digital communication tools, content management systems and basic design platforms (e.g. Canva).
  • Strong organizational skills with an ability to manage multiple priorities.
  • Strategic, proactive and solutions-focused.
  • Collaborative and able to build strong relationships at all levels.
  • Diplomatic, with sound judgement and the ability to handle sensitive information.
  • Adaptable and able to work in a fast-paced project environment.

 

Compensation

At Baycrest, we take pride in ensuring our compensation structure is internally equitable and compliant with pay equity legislation. We believe compensation should be transparent, equitable, and reflective of your experience and growth. Our salary ranges are structured to support progression, from learning the role to demonstrating full proficiency.

 

For this position, the salary range is $74,654 to $93,318. The target hiring range is $74,654 to $80,000 per year.

 

Your placement within the target hiring range will depend on your job-related knowledge, skills, abilities, and relevant education and experience, as well as considerations such as market conditions and internal equity. The starting salary will be determined using these factors to ensure fairness and consistency across the organization.
