The Human Resources Administrative Assistant provides essential administrative support to the Human Resources Department, assisting with employee data management, benefits administration, onboarding, payroll coordination, reporting, and supporting the Director. The ideal candidate is organized, detail-oriented, and handles confidential and time-sensitive information with professionalism and discretion.
ROLE

Provide onsite administrative support to the HR Department, including calendar management, meeting coordination, and documentation

Maintain accurate employee records by entering and updating data in the HRIS, including benefits and pension enrollments

Conduct quarterly benefit billing audits to ensure data accuracy and compliance

Support the onboarding process by processing new hires, coordinating onboarding activities, and assisting new hires

Assist with payroll preparation by accurately recording employee hours and ensuring timely processing

Manage electronic and paper filing systems, ensuring confidentiality and accessibility of HR documents

Provide direct administrative support to the HR Director, including scheduling, correspondence, and handling inquiries

Prepare HR reports, union seniority lists, and employee communications using HRIS tools and mail merges
- Performs other duties as required
EDUCATION, EXPERIENCE & QUALIFICATIONS
- Post secondary diploma/degree/certificate in office administration or related field required
- 1-2 years related administrative experience in an office environment
- Experience with Outlook, Excel, Word, PowerPoint including developing spreadsheets, mail merges, etc.
- Familiar with MS Teams, Zoom, etc.
- Detail-oriented, able to exercise independent judgement, with strong problem-solving skills

ADDITIONAL INFORMATION
Location: Multi-Site, working on site at both the South Muskoka Memorial Hospital (SMMH) located in Bracebridge and Huntsville District Memorial Hospital (HDMH) located in Huntsville. Applicants must reside within 125km of one of our hospital campuses or be willing to relocate prior to starting. *Exceptions will be considered on a case-by-case basis
Hours of Work: Regular hours of work are 8:00 am - 4:00 pm. Shifts and hours may change according to departmental requirements per the collective agreement.
