Working together to provide outstanding integrated health care to our communities delivering best patient outcomes with exemplary standards and compassion, Muskoka Algonquin Healthcare (MAHC) is a multi-site organization that includes Huntsville District Memorial Hospital Site and South Muskoka Memorial Hospital Site. 

 

ROLE 

As a Purchasing Clerk at Muskoka Algonquin Healthcare your responsibilities include but are not limited to: 

  • Reviewing Materials Management system reports to verify stock levels and determine optimum ordering quantities.
  • Receiving shipments of hard goods arriving to the hospital and routing accordingly.
  • Ensuring accurate entries on source documents and entries into the MM computer system.
  • Verifying goods against source documents such as packing slips, computer reports, etc. as per current policies.
  • Stocking inventory supplies paying close attention to stock rotation (first in, first out).
  • Ensuring the accurate delivery of non-inventory supplies to the requesting areas.
  • Processing all inventory transactions in the MM computer system in a timely manner.
  • Affixing asset tags or other internal identification devices as required and providing serial number or other cross-reference information to Purchasing or others as requested.
  • Ensuring warehouse stock levels are kept at an appropriate level, shifting of stock to/from overflow areas or alternate storage locations.
  • Conducting regular cycle counts of warehouse stock to ensure integrity of stock levels on hand is maintained.
  • Identifying discrepancies or unknown outages with appropriate resolution to correct any errors. Escalation of any stock issues to appropriate Management level that cannot be resolved immediately.
  • Responding to queries from Hospital departments.
  • Keeping the storeroom and dock areas safely secured, clean and tidy at all times.
  • Shipping goods to suppliers or offsite storage locations, including maintenance of all documentation and necessary courier/transport communication.
  • Maintaining accurate and properly filed and/or distributed documentation for all product receipts, shipments or returned goods.
  • Processing daily orders to vendors for stock and non-stock items and follows up with vendor to ensure timely delivery.
  • Reconciling invoices with vendors and Accounting department.

 

REQUIRED EDUCATION & CERTIFICATION(S)

  • Secondary School diploma.
  • Certificate in recognized purchasing/materials management course or equivalent experience. 

 

REQUIRED SKILLS & EXPERIENCE(S)

  • Minimum of one year experience in shipping, receiving and inventory control 
  • Basic computer, clerical and organizational skills in Microsoft Word, Excel and Outlook. Familiar with inventory management software applications. 
  • On a regular basis this position involves heavy lifting up to 50 lbs.
  • Pushing carts up to 1500 lbs. 
  • Excellent interpersonal and organizational skills and the ability to work independently and as a team player. 
  • Excellent communications skills and the ability to interact with all levels of the organization as well as external stakeholders is required. 
  • Excellent keyboarding and computer skills having worked with spreadsheets and word programs, including speed and accuracy. 
  • Responsible for day to day purchasing functions, including the maintenance of an in-house inventory system, the receiving and distribution of goods, creating and maintaining supply area profile stores lists (SAPS), picking orders, maintenance of storeroom and warehouse area. 
  • Regular and punctual attendance is a requirement of this position. 
  • Travel to other MAHC sites is required.

ADDITIONAL INFORMATION 

 

Location: Multi-Site, working at both South Muskoka Memorial Hospital (SMMH) located in Bracebridge and Huntsville District Memorial Hospital (HDMH) located in Huntsville. 

 

Department: Materials Management 

 

Hours of Work: Must be available to work shifts including days, evenings, nights and weekends. Shifts and hours may change according to departmental requirements per the collective agreement. 

 

Conditions of employment for external hires includes;

  • Proof of immunization and vaccination records to the Hospital’s Occupational Health and Safety department.  
  • Legal entitlement to work in Canada.
  • Satisfactory Criminal Record & Judicial Matters Check.
