We are currently seeking an Assistant Mechanical Project Coordinator to join our team and support the delivery of commercial mechanical projects. The Assistant Mechanical Project Coordinator will be working directly for the Project Manager; the Assistant Coordinator will assist the Project Managers and Superintendents in day-to-day duties of project administration.
This is an “Hybrid Onsite” position that will be based on a construction site in Calgary, Alberta with job responsibilities being both in the office and in the field.

Roles and Responsibilities:
- Ensure full compliance with Trotter & Morton Safety programs on jobsites
- Assist the Project Managers and Superintendents in day-to-day duties of project administration
- Prepare, issue, and track RFIs; maintain and update the RFI log and advise the Project Manager and Superintendent of status
- Coordinate, distribute, and track submittals and shop drawings to General Contractors, consultants, field teams, and subcontractors
- Maintain and update project document control logs, including RFIs, submittals, drawings, vendor/subcontractor logs, procurement logs, purchase logs, change orders, and owner correspondence
- Distribute updated drawings, sketches, site instructions, and other project information to field staff and subcontractors
- Assist with change management processes, including compiling pricing, tracking changes, and maintaining change order logs
- Assist with compiling and organizing Time & Material (T&M) tickets and supporting backup documentation
- Support QA/QC documentation control, including inspection records, test reports, turnover documentation, and close-out requirements
- Coordinate submittals and procure all close-out documentation, including warranties, Operating & Maintenance (O&M) manuals, and turnover packages
- Conduct project progress walkthroughs on site, including marking up drawings and capturing site photos to support reporting and documentation
- Maintain and control documents in compliance with Trotter & Morton standards, contractual requirements, and on-site policies and procedures
- Attend project meetings and prepare meeting minutes and action item summaries
- Maintain organized project files and document control systems in accordance with company standards
- Assist with quality control activities in accordance with instructions and inspection programs
- Perform other duties as required
